What you’ll do

The Receptionist/Administrative Assistant position works as part of the Office Services team to deliver on CAAT organizational objectives.  You will be the live voice as a first point of contact and first impression for our members, external guests and committee members.  This role helps to facilitate staff in serving members by providing administrative and reception support services, including various types of correspondence.  You will also deal with external vendors and building management, and communicate any office related issues to our staff in a professional manner.

QUALIFICATIONS:

Minimum of high school graduation or equivalent, College diploma or equivalent preferred.  Two or more years’ experience in an office with an aptitude for detailed work and dealing with visitors and answering the telephone switchboard.  Above Average proficiency of Microsoft Office.  Must be bilingual in both English and French.

SPECIFIC RESPONSIBILITIES:

  • Provide reception/telephone services. Greet visitors and direct them to the appropriate staff. 
  • Provide administrative support for staff which includes various types of correspondence.
  • Post and scan documents, sort incoming mail, courier documents, and maintain contact lists and data files (including those in CRM).
  •  Maintain a record of documents mailed or couriered out on a master mail out list and reconcile courier invoices.
  • Create and maintain record of staff absences.
  • Maintain switchboard recordings for holidays and other closures. 
  • Assist in booking hotel reservations.  
  • Notify building services for maintenance, repairs needed and notifying staff of any office issues.
  • Assist in preparing invites for meetings and other special events through Outlook.
  • Book and monitor boardrooms for meetings and maintain the reception calendar for incoming visitors.
  • Coordinate and prepare for setting and cleaning up of meeting rooms and ordering catering.
  • Perform other related office administration tasks as may be required and also assist other departments as needed.

Pension Analyst – Quality Assurance (& Pension Testing)

One (1) Full-Time

What you’ll do
The Quality Assurance Pension Analyst is responsible for defect analysis, testing system changes and corrections, and updating procedures based on pension system enhancements. The QA analyst will be involved with training pension administration staff on the pension administration system and changes. This position will be involved with internal and external (at employer sites) audits, quality review of complex cases and overflow processing (supporting peak administration periods within the Service Delivery team in order to support SLAs).

QUALIFICATIONS:

  • University Degree or College Diploma or equivalent. CEBS, PPAC, CBP is an asset.
  • Minimum 5-7 years’ experience in MEPP or public sector pension administration or experience with pension outsourcing providers.
  • Analytical skills, attention to detail as well as mathematical aptitude, problem-solving and time management skills are required for this positon.
  • Prior experience with implementing new pension systems, testing methodologies, auditing employers and defect analysis, quality reviews, data integrity and team work ethic is an asset.
  • Intermediate to advanced expertise with using Microsoft Excel is required. 

SPECIFIC RESPONSIBILITIES:

  • Analyze identified defects and test fixes provided by the vendor or internal IT staff based on priority and volume.
  • Assist with analyzing and documenting business requirements for enhancements within the pension administration system.
  • Test new functionality and enhancements within the pension administration system.
  • Identify and set up test cases and expected results based on identified system changes.
  • Provide support for users within the Service Delivery team, including providing assistance with day-to-day processing and training, as required.  Identify possible training needs and discuss with Manager, QA team.
  • Responsible for conducting audits on-site at employers (travel will be required approximately 1-2 days per month) as well as supporting other internal and external audit activities as required.
  • Perform quality review for high-risk cases, within SLA timelines. These cases may be in relation to system defects, data issues or partially automated calculations.
  • Document processes for the Service Delivery team for new processes, or process improvements, or workarounds.
  • Provide ongoing support to the Service Delivery team relating to improvements or changes in the system.  Lead ad hoc training sessions on process reviews or process improvements and changes.
  • Assist the Service Delivery teams with overflow processing during peak processing periods in order to meet standard levels.

Pension Analyst – Member Services

We’re hiring a Full-Time Pension Analyst – Member Services (Bilingual highly desirable)

The Pension Analyst (PA) is responsible for processing various types of member transactions by using the administration system to perform activities as well as ad hoc tools to perform calculations.   Thorough knowledge of pension calculations and formulas is required to be able to ensure accuracy of results.

QUALIFICATIONS:
College Diploma or University Degree, CEBS, PPAC, CBP.  Minimum five years of experience in pension administration.  Experience in MEPP or public sector pension administration, or with an outsourcing service provider; understanding of pension administration systems and working with pension plan texts.   Experience with compliance issues and rules such as marriage breakdown, minimum disclosure, PBA prescribed time limits.  Analytical skills are required, as well as attention to detail, a mathematical aptitude, excellent problem solving and time management skills.  Excellent oral and written skills required.  Proficient with using Excel. 

SPECIFIC RESPONSIBILITIES:

  1. Process and complete all transaction activities including terminations, retirements, deaths,  transfers, service purchases (buybacks) and pension estimates to deliver pension administration services in accordance with established service standards, procedures and policies.
    • Update Member’s data and calculate a Member’s specific entitlement based on his/her data and eligibility as prescribed by the Plan and legislation
    • Prepare and communicate costings, pension transfer letters and option documents to Employers and Members
    • Maintain workflow tracking tools and regularly review  case management reports to ensure all activities are completed within established service standards
  2. Interacts with Employers and their Members, former Members and Retired Members as required to respond to queries
    • Liaise with client service representatives to respond to complex inquiries
    • Respond or prepare responses to questions submitted either verbally or in writing from a plan stakeholder
    • Clarifies requests as required from Employers and the Members, former Members and Retired Member to ensure responses are efficient and effective
    • Escalates issues as appropriate with senior members of team and/or management
    • Occasionally assist Client Service Representative team by receiving calls/responding to emails during specified times
    • Assist members directly on the phone/email regarding issues requiring detailed answer or follow up
  3. Maintains detailed knowledge of the Plan text
    • Participate in structured training sessions to increase knowledge related to the Plan document and legislation
    • Participate in Employer update sessions
    • Review information updates provided by management to ensure knowledge level remains current
    • Review Plan text, system and internal policies and procedures
    • Interact with other Service Delivery department staff to expand knowledge and understanding of Plan provisions and legislation for determination of Member entitlements
  4. Follows quality processes and supports audit activities
    • Participate with other members of the Service Delivery department in the review of various activities, controls, service deliverables and workflows to identify areas for process improvement
  5. Supports required system updates and identifies opportunities to streamline processes by making improvements to pension administration processes
    • Identify opportunities to improve the effectiveness of processes for completion of the activities to ensure compliance and efficient processing

Lead, Pension Software Testing Analyst

We’re hiring a Full-Time Lead, Pension Software Testing Analyst

Who you are

What you’ll do
The Lead Pension Software Testing Analyst (LPSTA) is accountable to ensure the optimal performance of the functional testing process through planning, executing, training, and the identification and management of opportunities for process improvement to the functional testing process. LPSTA liaises with senior management about the functional testing process and to its implementation and practice on individual projects and programs.

To make sure that testing is well defined, planned and executed. The analyst does this by ensuring that every phase and feature of the software solution is tested and that any potential issue is identified and fixed before the product goes to production.

SPECIFIC RESPONSIBILITIES:

  • Performs the following functional testing planning activities, for projects of high complexity: test strategy (including Test Level Assessment), timeline, scheduling, distribution of work, distribution of new and regression test packages, and sign-off, to ensure an effective and efficient testing approach.
  • Develop and execute manual and automated test plans to validate functional requirements and resolved defects.
  • Collaborate with the development team to ensure accurate test coverage and feature correctness.
  • Collaborate with the QA team to ensure high quality standards are being met.
  • Reproduce and report on defects uncovered by system users
  • Provide reports to stakeholders on quality metrics
  • Participates in the improvement of the SDLC for all developed/supported systems in order to meet organizational objectives.
  • Provides input in the planning of resource allocation of internal staff, contractors, and vendors, as appropriate to ensure the optimal use of time and resources.
  • Reviews and interprets all documentation related to testing, including business requirements and functional and design specifications, in order to provide input to the project team regarding the planning of testing activities.
  • Recommends improvements to the functional testing process and the creation of functional testing process and procedures documentation to ensure alignment with organizational objectives.

As a member of the Plan’s policy team, provide policy and monitoring services to the CAAT Pension Plan and provide input to the communications team on the content of Plan communications.

QUALIFICATIONS:
The ideal candidate should have three or more years of related experience, be good at solving problems through analysis of the matter in hand, applying and interpreting the applicable Plan terms or policies while weighing any competing factors. Hold an undergraduate degree or appropriate diploma in applied arts, social sciences, public administration or business related fields. Possess a high level of analytical and critical thinking skills, with an attention to detail. Demonstrate excellent written and oral communication skills. Prior policy or pension-related experience an asset (2 to 3 years preferred, but not required).


SPECIFIC RESPONSIBILITIES:

  1. Perform in-depth and extensive research of the Plan’s policies and governing legislation as they apply to current or forthcoming issues and provide written reports as needed about their impact on the Plan’s policies, procedures, and benefits
  2. Conduct research and analysis of changes to pension-related legislation and regulatory oversight to determine the risk to the CAAT Pension Plan and assist in providing solutions and alternatives to ensure compliance
  3. Maintain an intimate knowledge of applicable legislation (i.e. Income Tax Act, Ontario Pension Benefits Act) and act as technical resource for pension administration staff regarding pension administration policy- related issues
  4. Provide information, analysis, and interpretation of Plan provisions to Pension Administration staff; participate in regularly scheduled meetings with plan administration
  5. Develop content for member, pensioner and administrator publications
  6. Review and enhance the pension administration manual, website materials and pension administration procedures and documents
  7. Maintain the compilation and organization of the pension policy interpretation and legal opinions database as well as the records of the business process review outcome
  8. Assist in drafting Plan amendments in accordance with legislation and manage filing requirements of the regulators
  9. Monitor and analyze pension industry practices
  10. Determine the potential policy impact of changes in Member collective bargaining agreements and terms and conditions of employment
  11. Complete tasks as requested by Manager, Policy or Vice President, Pension Management
  12. Determine the potential policy impact of changes in Member collective bargaining agreements and terms and conditions of employment
